If you do not agree with any part of these Terms, please discontinue use of our website and services.
These Terms apply to all customers worldwide unless otherwise required by applicable local law.
1. Acceptance of Terms
By accessing or using the HermeX Travel website, contacting our travel advisors, requesting travel quotations, submitting booking requests, or purchasing any travel-related service from us, you agree to comply with these Terms & Conditions.
These Terms constitute a legally binding agreement between you and HermeX Travel LLC.
HermeX Travel reserves the right to modify, update, or replace these Terms at any time without prior notice. The latest version will always be available on our website, and continued use of our services constitutes acceptance of any revisions.
2. Eligibility
To purchase travel services from HermeX Travel, you must:

If you make a booking on behalf of additional travelers, you confirm that you have their authorization to act on their behalf and that all travelers agree to these Terms & Conditions.

HermeX Travel LLC operates as an independent travel agency and provides travel planning and reservation services, including but not limited to:
• Customized vacation packages
• Group tours
• Private tours
• Luxury travel
• Hotel reservations
• Airline ticket reservations
• Cruise bookings
• Airport transfers
• Ground transportation
• Sightseeing tours
• Travel insurance (where available)
• Visa assistance and travel documentation guidance
• Corporate travel services
• Destination consulting
• Special event travel arrangements
The availability of specific services may vary depending on destination, supplier, government regulations, and seasonal conditions.
4. Independent Travel Suppliers
HermeX Travel acts solely as an intermediary between travelers and independent travel suppliers.
These suppliers may include:
• Airlines
• Hotels
• Resorts
• Cruise lines
• Tour operators
• Transportation companies
• Car rental providers
• Travel insurance providers
• Local activity providers
• Government-authorized visa service providers
Each supplier maintains its own terms, conditions, cancellation policies, baggage rules, refund policies, schedules, and operational procedures.
By confirming your booking, you agree to comply with the terms and conditions of each travel supplier involved in your itinerary.
5. Service Availability
All travel services, prices, itineraries, accommodations, transportation, and activities are subject to availability at the time of confirmation.
Submitting a booking request does not guarantee availability.
Reservations become confirmed only after:
• Availability has been verified.
• Required payments have been received.
• Written confirmation has been issued by HermeX Travel.
Until written confirmation is provided, prices, availability, schedules, and accommodations remain subject to change.
6. Accuracy of Information
While we make every reasonable effort to ensure that all information published on our website is accurate and current, HermeX Travel does not guarantee that all descriptions, pricing, photographs, hotel ratings, maps, availability, or travel information will remain accurate at all times.
Travel suppliers may change schedules, services, hotel classifications, transportation equipment, operating hours, attractions, or included services without prior notice.
Minor inaccuracies or changes shall not constitute grounds for cancellation or compensation.
7. Website Use
You agree to use our website only for legitimate travel inquiries and bookings.
You may not:
• Use the website for fraudulent purposes.
• Submit false booking requests.
• Attempt unauthorized access to our systems.
• Interfere with website security.
• Copy, reproduce, distribute, or commercially exploit website content without written permission.

8. Travel Quotations
All quotations provided by HermeX Travel are estimates based on the prices, exchange rates, taxes, and supplier availability at the time the quotation is prepared.
Unless specifically stated otherwise, quotations are non-binding and do not guarantee availability or pricing.
Prices may change before a booking is confirmed due to supplier updates, currency fluctuations, government regulations, fuel surcharges, taxes, or limited availability.
A quotation does not constitute a reservation.
9. Pricing
All prices displayed on our website, marketing materials, emails, or quotations are subject to change without prior notice until the booking has been confirmed in writing.
Prices may increase due to, but are not limited to:
• Airline fare changes
• Hotel rate adjustments
• Cruise pricing updates
• Currency exchange fluctuations
• Fuel surcharges
• Government taxes
• Airport taxes
• Security fees
• Tourism taxes
• Local service charges
• Supplier pricing changes
Once your booking has been confirmed and full payment has been received, your agreed travel price will generally remain fixed unless changes are required due to government action, supplier-imposed adjustments permitted under applicable law, or modifications requested by the traveler.
10. Currency Exchange
Travel prices may be quoted in U.S. Dollars (USD) or another specified currency.
If payment is made using a different currency, your financial institution or payment provider may apply exchange rates and foreign transaction fees that are outside the control of HermeX Travel.
HermeX Travel is not responsible for currency conversion differences or exchange rate losses incurred by the traveler.
11. Deposits
Many travel services require a deposit at the time of booking.
Deposit amounts vary depending on:
• Destination
• Supplier requirements
• Airline rules
• Hotel policies
• Cruise line policies
• Seasonal demand
• Type of travel package
Certain deposits may be non-refundable immediately upon payment.
Your travel advisor will inform you of the applicable deposit requirements before confirmation.
Payment of a deposit indicates acceptance of these Terms & Conditions.
12. Final Payment
Final payment deadlines vary depending on the supplier and destination.
Unless otherwise stated in writing, full payment must be received on or before the due date specified in your booking confirmation.
Failure to make payment by the deadline may result in:
• Automatic cancellation of your reservation
• Loss of deposits
• Supplier cancellation penalties
• Repricing of your itinerary
HermeX Travel is not responsible for losses resulting from missed payment deadlines.
13. Accepted Payment Methods
We may accept payment through approved methods including, but not limited to:
• Major credit cards
• Debit cards
• Bank transfers
• Online payment platforms
• Other approved payment methods
Payment availability may vary depending on your country of residence and the travel supplier involved.
Additional processing fees may apply for certain payment methods where permitted by law.
14. Booking Confirmation
Your booking is considered confirmed only after all of the following conditions have been met:
• Required payments have been received.
• Availability has been confirmed.
• Supplier confirmation has been issued.
• HermeX Travel has provided written confirmation of your reservation.
Until written confirmation is provided, no travel service shall be considered guaranteed.
15. Taxes and Government Fees
Quoted prices may or may not include:
• Airport taxes
• Government taxes
• Tourism taxes
• Port charges
• Visa fees
• Customs fees
• Local municipality taxes
• Environmental fees
• Resort fees
• Entry or exit taxes
The inclusion or exclusion of such charges will be clearly indicated in your travel quotation whenever possible.
Travelers remain responsible for any mandatory taxes or government charges imposed after booking that are not legally required to be included in the quoted price.
16. Chargebacks and Payment Disputes
Before initiating a chargeback or payment dispute with your financial institution, you agree to contact HermeX Travel to allow us a reasonable opportunity to investigate and resolve the issue.
Fraudulent or unjustified chargebacks may result in:
• Cancellation of travel services
• Suspension of future bookings
• Recovery of costs incurred by HermeX Travel
• Legal action where permitted by law
Nothing in this section limits any rights you may have under applicable consumer protection laws.
17. Fraud Prevention
HermeX Travel reserves the right to verify the identity of customers before processing payments or confirming bookings.
We may request additional documentation, including but not limited to:
• Government-issued identification
• Credit card verification
• Proof of billing address
• Authorization forms
Failure to provide requested verification may result in cancellation of the booking and refund of eligible payments, subject to applicable supplier policies and fees.
18. Changes Requested by the Traveler
If you request changes to your confirmed booking after it has been confirmed, HermeX Travel will make reasonable efforts to accommodate your request.
Requested changes may include, but are not limited to:
• Travel dates
• Destination
• Hotels
• Flights
• Passenger names (where permitted)
• Room category
• Transportation
• Activities
• Tour itinerary
All requested changes are subject to supplier availability and approval.
Additional costs, supplier penalties, administrative fees, fare differences, or taxes may apply.
HermeX Travel cannot guarantee that requested modifications will be possible.
19. Changes Made by Suppliers
Travel suppliers occasionally make changes beyond the control of HermeX Travel.
These changes may include:
• Flight schedules
• Aircraft substitutions
• Hotel changes
• Cruise itinerary modifications
• Tour schedules
• Transportation arrangements
• Included services
• Activity availability
Whenever possible, HermeX Travel will promptly notify travelers of significant changes after becoming aware of them.
HermeX Travel is not responsible for supplier-initiated changes but will use reasonable efforts to assist travelers in obtaining available alternatives.
20. Customer Cancellation Policy
Cancellation requests must be submitted in writing by email or another approved written communication method.
The effective cancellation date shall be the date on which HermeX Travel receives the written cancellation request.
Cancellation penalties vary depending on:
• Supplier policies
• Destination
• Airline rules
• Hotel policies
• Cruise line requirements
• Tour operator policies
• Time remaining before departure
Some bookings may be partially refundable, while others may be entirely non-refundable.
Each reservation will be governed by the cancellation terms applicable to the specific suppliers involved.
21. Non-Refundable Services
Unless otherwise stated in writing, the following services are commonly non-refundable once confirmed or ticketed:
• Airline tickets
• Promotional fares
• Special event packages
• Holiday travel
• Certain hotel reservations
• Cruises
• Visa processing fees
• Travel insurance premiums
• Service fees
• Administrative fees
The refundability of each travel component will be disclosed whenever reasonably possible before confirmation.
22. Refund Processing
If a refund is approved by the applicable supplier, HermeX Travel will process the refund after receiving the funds from that supplier.
Refund processing times vary depending on:
• Airlines
• Hotels
• Cruise lines
• Banks
• Payment processors
• Credit card companies
Refunds may require several weeks or longer depending on supplier procedures.
HermeX Travel is not responsible for delays caused by third-party suppliers or financial institutions.
23. No-Show Policy
Failure to appear for any scheduled travel service without prior notice (“No-Show”) may result in:
• Cancellation of the affected reservation
• Cancellation of subsequent travel segments
• Loss of prepaid amounts
• Supplier penalties
• Complete forfeiture of unused services
Most airlines, hotels, cruises, and tour operators treat No-Shows as non-refundable.
24. Unused Services
No refunds will generally be provided for services voluntarily unused by the traveler, including but not limited to:
• Missed flights
• Missed tours
• Late arrivals
• Early departures
• Unused hotel nights
• Missed transfers
• Missed sightseeing activities
Exceptions may apply only where expressly permitted by the supplier.
25. Travel Credits
Where permitted by suppliers, canceled services may be converted into future travel credits instead of cash refunds.
Travel credits:
• Are subject to supplier rules.
• May expire.
• May be non-transferable.
• May require travel within a specified period.
HermeX Travel cannot extend or modify supplier-issued travel credits.
26. Force Majeure
HermeX Travel shall not be liable for delays, cancellations, interruptions, losses, or additional expenses resulting from events beyond our reasonable control.
Such events may include, but are not limited to:
• Natural disasters
• Hurricanes
• Floods
• Earthquakes
• Wildfires
• Volcanic eruptions
• Severe weather
• Pandemics
• Epidemics
• Government actions
• Travel advisories
• Border closures
• Civil unrest
• Terrorism
• War
• Labor strikes
• Transportation disruptions
• Mechanical failures
• Utility failures
• Cybersecurity incidents
• Acts of God
In such circumstances, refunds, credits, rescheduling, or alternative arrangements shall depend solely on the policies of the applicable travel suppliers.
HermeX Travel will use reasonable efforts to assist travelers but cannot guarantee refunds or compensation where suppliers do not provide them.
27. Trip Interruption
If a trip is interrupted after travel has commenced due to illness, injury, weather conditions, transportation disruptions, government restrictions, or any other circumstance beyond HermeX Travel’s control, travelers remain responsible for any additional expenses incurred unless otherwise covered by travel insurance or required by applicable law.
For this reason, we strongly recommend purchasing comprehensive travel insurance for all international and domestic travel.
28. Airline Services
Air transportation is provided by independent airlines and is subject to each airline’s own terms, conditions, tariffs, and operating policies.
HermeX Travel is not responsible for:
• Flight delays
• Flight cancellations
• Missed connections
• Schedule changes
• Aircraft substitutions
• Seat assignments
• Overbooking
• Denied boarding
• Lost or delayed baggage
• Airline strikes
• Operational disruptions
Any compensation, reimbursement, or assistance related to airline services shall be governed by the airline’s own policies and applicable laws.
Travelers are responsible for reviewing the airline’s conditions before departure.
29. Hotel Accommodations
Hotel accommodations are provided by independent hotel operators.
Hotel ratings (such as 3-star, 4-star, or 5-star) are based on local standards and may differ from country to country.
HermeX Travel does not guarantee:
• Specific room numbers
• Floor preferences
• View preferences
• Bedding configurations
• Early check-in
• Late check-out
• Hotel amenities remaining unchanged
Special requests will be forwarded to the hotel but cannot be guaranteed unless confirmed in writing by the hotel.
30. Check-in and Check-out
Unless otherwise stated:
• Hotel check-in normally begins between 2:00 PM and 4:00 PM local time.
• Hotel check-out is generally required between 10:00 AM and 12:00 PM local time.
Early arrivals or late departures may require additional charges payable directly to the hotel.
31. Cruise Services
Cruise reservations are subject to the policies of the applicable cruise line.
Cruise operators may modify:
• Sailing dates
• Ports of call
• Onboard activities
• Cabin assignments
• Boarding procedures
• Safety requirements
without prior notice.
Travelers must comply with all cruise line documentation, health, immigration, and boarding requirements.
Failure to meet cruise boarding requirements may result in denied boarding without refund.
32. Tour Participation
Certain tours involve physical activity and may not be suitable for every traveler.
Participants are responsible for determining whether they are medically and physically able to participate in booked activities.
Travelers should disclose any medical conditions, disabilities, allergies, dietary restrictions, or mobility limitations before booking whenever they may affect travel arrangements.
HermeX Travel reserves the right to decline participation in an activity where safety may be compromised.
33. Optional Excursions
Optional excursions or activities purchased during travel are generally operated by independent local suppliers.
HermeX Travel is not responsible for:
• Safety standards
• Operational decisions
• Schedule changes
• Activity cancellations
• Service quality
• Injuries
• Property damage
• Financial losses
resulting from independently operated optional activities.
Participation is entirely voluntary and at the traveler’s own risk.
34. Ground Transportation
Ground transportation may include:
• Airport transfers
• Private vehicles
• Shared shuttles
• Coaches
• Rail services
• Ferries
• Domestic transportation
Schedules may change because of:
• Traffic
• Weather
• Road closures
• Mechanical issues
• Government restrictions
Travelers should allow sufficient time between transportation connections.
HermeX Travel is not responsible for missed connections caused by circumstances beyond our reasonable control.
35. Baggage
Each airline, cruise line, rail operator, and transportation provider establishes its own baggage rules.
Travelers are solely responsible for:
• Verifying baggage allowances
• Paying excess baggage charges
• Carrying valuables appropriately
• Complying with security regulations
HermeX Travel accepts no responsibility for:
• Lost baggage
• Delayed baggage
• Damaged baggage
• Theft of personal belongings
Claims relating to baggage must be submitted directly to the responsible transportation provider.
36. Travel Documents at Check-In
Travelers are solely responsible for presenting all required documentation before departure, including:
• Valid passport
• Required visas
• Boarding passes
• Government-issued identification
• Health documentation
• Vaccination certificates (when applicable)
Failure to present required documents may result in denied boarding, denied entry, cancellation of services, or additional expenses.
HermeX Travel is not responsible for losses resulting from incomplete or invalid travel documentation.
37. Special Requests
Special requests may include:
• Connecting rooms
• Adjacent rooms
• King or twin beds
• Accessible accommodations
• Dietary requests
• Wheelchair assistance
• Child amenities
• Honeymoon arrangements
• Celebration requests
While HermeX Travel will communicate these requests to the appropriate suppliers, fulfillment cannot be guaranteed unless confirmed in writing by the supplier.
38. Travel Itineraries
Published itineraries are intended as general travel plans.
HermeX Travel and its suppliers reserve the right to modify itineraries due to operational requirements, weather conditions, safety concerns, local regulations, or circumstances beyond reasonable control.
Reasonable substitutions of hotels, transportation, attractions, or activities may be made without materially affecting the overall value of the travel experience.
Such changes shall not automatically entitle the traveler to compensation or cancellation rights unless required by applicable law or expressly provided by the supplier.
39. Passports
Every traveler is solely responsible for obtaining and carrying a valid passport that meets the entry requirements of each destination visited.
Many countries require that passports remain valid for at least six (6) months beyond the date of return.
Some destinations may also require a minimum number of blank passport pages.
HermeX Travel does not verify passport validity and accepts no responsibility for losses resulting from expired, damaged, or otherwise invalid travel documents.
Travelers denied boarding or entry due to passport issues shall remain responsible for all associated costs.
40. Visas and Entry Requirements
Visa requirements vary according to nationality, destination, purpose of travel, transit points, and government regulations.
Unless specifically agreed in writing, HermeX Travel does not guarantee visa approval or immigration clearance.
If visa assistance is provided, HermeX Travel acts solely as an administrative facilitator and is not the issuing authority.
Visa application decisions are made exclusively by the relevant embassy, consulate, or government authority.
Visa fees, government charges, and third-party processing fees are generally non-refundable.
A visa approval does not guarantee admission into any country.
Final admission decisions are made by immigration authorities at the point of entry.
41. Immigration and Border Control
Each traveler is solely responsible for complying with the immigration, customs, and entry requirements of every country visited.
HermeX Travel shall not be liable for:
• Refused entry
• Deportation
• Detention
• Immigration delays
• Customs inspections
• Entry restrictions
• Border closures
• Government decisions
• Confiscation of prohibited items
Any additional expenses resulting from immigration or customs decisions shall be the sole responsibility of the traveler.
42. Health Requirements
Travelers are responsible for determining and complying with all health requirements applicable to their destinations.
These may include:
• Required vaccinations
• Health certificates
• Medical documentation
• COVID-19 or similar health regulations
• Entry health declarations
• Local public health measures
HermeX Travel does not provide medical advice.
Travelers should consult qualified healthcare professionals before international travel.
43. Travel Insurance
HermeX Travel strongly recommends that every traveler purchase comprehensive travel insurance covering, where available:
• Trip cancellation
• Trip interruption
• Medical expenses
• Emergency evacuation
• Repatriation
• Lost baggage
• Delayed baggage
• Travel delays
• Personal liability
• Accidental death and disability
Travel insurance is designed to protect travelers against unforeseen events and may significantly reduce financial losses.
Unless expressly stated in writing, travel insurance is not included in travel packages.
Failure to purchase travel insurance is solely at the traveler’s own risk.
44. Medical Conditions
Travelers must disclose any known medical conditions, disabilities, mobility limitations, or special assistance requirements that may affect their travel.
HermeX Travel will make reasonable efforts to communicate such requirements to suppliers.
However, we cannot guarantee that all destinations, accommodations, transportation providers, or activities will be able to accommodate every medical need.
Travelers remain responsible for ensuring that their chosen itinerary is appropriate for their health and physical condition.
45. Pregnancy
Pregnant travelers should consult their physician before making travel arrangements.
Many airlines, cruise lines, and tour operators impose restrictions on travel during certain stages of pregnancy.
Travelers are responsible for ensuring compliance with all supplier requirements.
HermeX Travel accepts no responsibility for denied boarding or service restrictions related to pregnancy.
46. Travelers with Disabilities
HermeX Travel welcomes travelers with disabilities and will make reasonable efforts to assist with arranging accessible travel services where available.
Availability of accessible accommodations, transportation, and facilities varies by destination and supplier.
Certain destinations may have limited accessibility due to local infrastructure.
Travelers should notify HermeX Travel of accessibility requirements as early as possible before booking.
47. Vaccinations
Some destinations require proof of vaccination or preventive medical treatment before entry.
Requirements may change without notice.
Travelers are responsible for obtaining the latest information from official government or public health authorities before departure.
HermeX Travel shall not be responsible for denied entry resulting from failure to meet health or vaccination requirements.
48. Government Travel Advisories
Travelers are encouraged to review official government travel advisories before departure.
HermeX Travel does not determine whether travel to a destination is advisable or safe.
The decision to travel remains solely with the traveler.
Travelers who choose to proceed despite government travel warnings do so at their own discretion and risk.
49. Traveler Responsibility
Each traveler agrees to:
• Follow all applicable laws.
• Respect local customs and cultural traditions.
• Follow instructions provided by guides, transportation providers, hotels, and local authorities.
• Behave in a respectful manner toward fellow travelers and service providers.
• Avoid conduct that may endanger themselves or others.
HermeX Travel reserves the right to remove any traveler from a tour or terminate travel arrangements, without refund, if their behavior is unlawful, violent, abusive, discriminatory, intoxicated, disruptive, or poses a risk to others or significantly interferes with the enjoyment or safety of the trip.
